Call diagnostics

We keep call event types, timing, counts, and connection status for 14 days to investigate voice faults. Approved administrators can read these records. These diagnostics exclude speech text, audio, tool arguments, and authentication tokens.

Sign-in and your account

Google sign-in and Google One Tap create your Apex account. We save your name, email, profile image, and Google account identifier before you connect ChatGPT. These details remain if you leave during the ChatGPT step. We request no access to your Google contacts. We discard Google access, refresh, and identity tokens after verification.

One Tap loads Google’s sign-in service on the home and login pages. Google controls whether the prompt appears. You can always use the Google sign-in button.

ChatGPT device sign-in verifies your identity through OpenAI. You enter your password only on OpenAI. We verify the returned identity token, save your provider identifier and email when available, and encrypt your OpenAI access and refresh tokens for mock calls and reviews. Identity tokens are discarded after verification.

Your training progress

We save completed lesson identifiers and completion times with your Apex account. We use this data to show your progress when you return. The guided exercises use prepared coaching notes and do not call an AI service.

Payments

Stripe processes payments on its checkout page. We store the purchase identifier, access plan, purchase date, update term, and refund status with your Apex account. We do not store card numbers. We record your first call to control free access. Payment options appear only when you request a locked feature or another call.

Cookies and storage

Cloudflare hosts the site and its database. A necessary, secure session cookie keeps you signed in for up to seven days. A temporary cookie links a sign-in code to your browser. Sign out to end the current session. We do not use advertising trackers or analytics cookies. Session recording uses temporary tab storage to group activity. This storage does not identify your account.

Affiliate referrals

When you open an affiliate link, Apex stores a random referral reference in a first-party cookie for up to 30 days. We connect the eligible referral to your Google-backed Apex profile when you sign in. We use referral, purchase, refund and dispute records to calculate commissions.

Affiliate handles are public. Affiliates see aggregate referral activity and their own commission records, but not referred customers’ names, emails, or interview content. Administrators can manage beta invitations, affiliate eligibility, discounts, commission approvals and payment references. We record handle claims and selected affiliate events in our analytics queue.

When you claim an affiliate handle, we send a confirmation to your verified Google email through Cloudflare Email Service. The email includes your public referral link and commission terms. We keep the sending status and provider message identifier to manage delivery.

Mock calls and coaching reviews

Your microphone sends speech to ChatGPT during a mock call. Apex saves the transcript, call times, and AI review with your account. The review uses your ChatGPT connection. You can choose to save an audio recording for 90 days after the call. Authorized staff can listen to saved audio to check assessment quality. Recording is optional. Transcripts, background summaries, and reviews remain until you delete the call records or request account removal. You can mute or end the call at any time. Your ChatGPT subscription limits apply.

Optional camera feedback

Camera review is off by default. If you enable it, Apex captures up to 12 small images during your interview. Estimated speaking and listening labels come from audio activity. At the end, Apex sends those images to OpenAI using your connected ChatGPT account. Your subscription limits and OpenAI account terms apply.

Apex keeps images in browser and request memory only. It does not save image files, include them in analytics, or provide staff playback. Images are discarded after a successful review, when you stop and discard capture, or when you leave the page. Failed reviews can retry while that page remains open. The server accepts images for 30 minutes after the interview ends.

We save camera feedback, consent settings, and sample times with your call. Only your account can retrieve the camera feedback through the application. Delete it separately or delete the call to remove it. Camera feedback stays separate from your interview score. Clothing feedback requires a separate selection. Sparse images do not measure continuous eye contact, attention, emotion, or employability.

Product analytics and administration

We use PostHog to measure account creation, ChatGPT connection, lesson completion, calls, reviews, payment attempts, and verified purchases. Selected page views and payment offer views help us understand use of the site. Browser activity respects Do Not Track and Global Privacy Control. We do not use analytics cookies.

We use PostHog session recordings to understand navigation, clicks, scrolling, and problems with the interface. These recordings reconstruct the page; they do not record your microphone, camera, or screen video. Inputs and private text are masked before transmission. Selected public page text remains visible. Images, media, authentication codes, and administration pages are excluded. Network bodies and console output are not recorded. Recordings use random identifiers held in temporary tab storage, separate from your account identity. Do Not Track and Global Privacy Control disable recording.

Analytics uses internal account identifiers. We do not send names, email addresses, call transcripts, review text, audio, authentication tokens, or page query parameters to PostHog. We disable IP-based location processing. Anonymous page views use a separate random identifier for each event.

Authorized administrators can see account details, connection state, session expiry times, lesson progress, call scores, and purchase state. The admin page does not expose session tokens or call transcript text. Delivered browser activity records remain in our database for up to 90 days. Operational event receipts remain to prevent duplicate events. Older call, account, and purchase records remain available for the service. PostHog stores delivered events separately.

Earlier registrations

Earlier waitlist entries remain in our database. The waitlist form is closed. We do not sell your information. This release has no automated marketing emails.

Technical information

Cloudflare processes connection information to serve the site and limit repeated requests. We do not save IP addresses in the course database.
